Xero - Third-Party App Connection Error Guide

Xero App Connection Error: Fix Third-Party App Integration Failures

A third-party app in the Xero App Store is showing a connection error -- either "Could not connect to Xero", the app disconnects repeatedly after reconnection, or data stops syncing between the app and Xero without any error message.

At QuickFix Bookkeeping, Xero app connection errors fall into three categories: token expiry (most common), permission scope mismatch, and Xero organisation configuration problems. Each category has a distinct fix path.

The QuickFix Bookkeeping Distinction

Xero app connection errors split into three categories -- the fix for each is completely different.

Token expiry (most common)

The OAuth token connecting the app to Xero has expired. Access tokens expire after 30 minutes of inactivity; refresh tokens after 60 days. After expiry the app cannot communicate with Xero until re-authorised.

Permission scope mismatch

The app was connected with a Xero user account that does not have permission to access the data the app is trying to read or write. The app connects successfully but fails when it tries to sync specific data types.

First check: In the third-party app settings, look for a connection status indicator. Green means authenticated but possibly syncing incorrectly (permission issue). Red or expired means token issue.

What it means

A third-party app in the Xero App Store is showing a connection error -- either "Could not connect to Xero", the app disconnects repeatedly after reconnection, or data stops syncing between the app and Xero without any error message.

What Causes This Error?

🔐

OAuth Token Expired

The connection token Xero issued to the app has expired. This happens after 60 days of inactivity or when the Xero user who authorised the connection has their account deactivated.

🔑

Connecting User Lacks Required Permissions

The Xero user account used to authorise the app does not have access to the data the app is trying to sync -- payroll, bank accounts, or draft invoices in a restricted role.

🏢

Wrong Xero Organisation Selected

The app was connected to the wrong Xero organisation (e.g. a demo company or a previous client's organisation). All synced data goes to the wrong Xero file.

🔄

Xero Organisation Settings Blocking Third-Party Access

The Xero organisation has third-party app access restricted in Settings > Connected Apps. An administrator may have revoked access to all third-party apps.

⚙️

App-Side Configuration Error

The Xero connection settings within the third-party app are misconfigured -- wrong tenant ID, wrong redirect URL, or stale credentials stored in the app's database.

How to Fix This Error

METHOD 1Disconnect and Reconnect the App to XeroToken expired or wrong organisation
1

In the third-party app, go to Settings > Integrations > Xero (exact path varies by app).

2

Click Disconnect or Remove Connection to clear the expired token.

3

Click Connect to Xero and complete the OAuth flow when redirected to Xero.

4

On the Xero authorisation screen, confirm the correct Xero organisation is selected before approving.

METHOD 2Reconnect Using an Admin Xero AccountPermission scope mismatch
1

In the third-party app, disconnect the current Xero connection.

2

Log into Xero as an Administrator (not a Standard or ReadOnly user).

3

From Xero, open the third-party app or return to the app and reconnect while logged in as the Admin.

4

Verify the connection status shows all required data types are accessible.

METHOD 3Check and Re-Enable Connected App Access in XeroApp access revoked by admin
1

In Xero: go to Settings > Connected Apps (or Accounting > Advanced > Connected Apps).

2

Find the affected app in the list and check its status.

3

If disconnected or revoked, click Reconnect or Authorise to restore access.

4

Return to the third-party app and trigger a manual sync to confirm data flows correctly.
