Xero Invite User Not Working: Fix User Access and Invitation Problems
Xero is not sending user invitations, the invitation email is not arriving, or the invited user clicks the invitation link and receives an error when trying to accept access to the Xero organisation.",
At QuickFix Bookkeeping, Xero user invitation errors are common after account migrations, organisation transfers, and plan changes. Most are resolved in under 10 minutes once you identify which of the four failure points applies.
The QuickFix Bookkeeping Distinction
Xero invitation failures happen at one of four distinct points -- each with a different fix.
Invitation not received
The email was sent by Xero but is in the recipient's spam or junk folder, or was blocked by a corporate email filter. Xero sends invitations from no-reply@xero.com -- this domain is frequently flagged by Microsoft 365 and Google Workspace spam filters.
Invitation link error on click
The invitation link expired (Xero invitations expire after 7 days), the recipient is trying to accept using a different email address than the one invited, or the invitation was already accepted or revoked.
First check: In Xero > Settings > Users, look at the pending invitation status. If the invitation shows "Expired," resend it. If it shows "Active" but the user did not receive it, check spam folders before resending.

What it means
Xero is not sending user invitations, the invitation email is not arriving, or the invited user clicks the invitation link and receives an error when trying to accept access to the Xero organisation.",
What Causes This Error?
Invitation Email in Spam or Blocked
The invitation email from no-reply@xero.com was filtered into the recipient's spam folder or blocked by a corporate email security gateway. Very common with Microsoft 365 and Google Workspace environments.
Invitation Link Expired
Xero invitation links expire after 7 days. If the recipient did not accept within 7 days, the link is no longer valid and a new invitation must be sent.
Wrong Email Address Used to Accept
The invited user is trying to accept the invitation while logged into a different Xero account (or Microsoft or Google account) than the email address the invitation was sent to.
User Limit Reached on Xero Plan
The Xero plan has a user limit and the organisation has already reached it. New invitations cannot be sent until the plan is upgraded or an existing user is removed.
