How to Fix Xero Invite User Not Working

Xero user invitations fail to send, the invitee never receives the email, or the invitation link returns "This invitation has expired" when clicked. The issue is almost always email deliverability or an account conflict on the invitee's side.

What Causes Xero Invitations to Fail?

Invitation in Spam or Junk

Xero's invitation email lands in the recipient's spam folder. Corporate spam filters are particularly aggressive about automated platform invitations.

Invitation Link Expired

Xero invitations expire after 14 days. After expiry, the link fails and the invitation must be resent.

Email Already Has Xero Account

The invitee's email is already linked to another Xero account. The invitation conflicts with their existing login, causing the link to fail.

Domain Whitelist Missing

The recipient's company email server rejects mail from xero.com domains. Common in highly regulated industries with strict mail filtering.

How to Fix Xero User Invitation Issues

METHOD 1 Have the Invitee Check Spam and Whitelist Xero Resolves most cases

Ask the invitee to check Spam, Junk, and All Mail folders for an email from noreply@post.xero.com.

If found in spam, mark as Not Spam and add Xero's domain to their safe senders list. For corporate Outlook users, this may require IT to whitelist xero.com at the mail server level.

Once whitelisted, resend the invitation from Xero (Settings, Users, find the invited user, Resend invitation).

METHOD 2 Resend the Invitation After Expiry 14-day expiry

In Xero, go to Settings and select Users. Find the pending invitation in the list.

Click the user, select Resend invitation. A fresh 14-day invitation link is generated and emailed.

METHOD 3 Use an Alternative Email Address Existing account conflict

If the invitee already has a Xero login under that email, ask them to log in to their existing Xero account first. The new organisation will appear automatically in their organisation switcher. If they cannot access the existing account, invite them using a different email address (personal Gmail works as a fallback).
