Authentication error

The HMRC connection from Xero has expired or been revoked. Xero connects to HMRC via Making Tax Digital (MTD) and the connection token has a finite lifespan. Re-authenticating resolves 70% of Xero VAT submission failures.

Tax rate mismatch

The VAT figures Xero calculated do not match what you expected. This is almost always caused by transactions posted to the wrong VAT rate code earlier in the period -- not a problem with the VAT return itself.

Before submitting: Run the VAT Audit Report in Xero and review every transaction for the period. Any transaction with an unexpected VAT rate is easier to correct before submission than after.

HMRC MTD Connection Expired

The OAuth token connecting Xero to HMRC for MTD submissions has expired. Xero cannot submit the VAT return until the connection is refreshed through HMRC Government Gateway.

Transactions Posted to Wrong VAT Code

One or more transactions during the period were coded to the wrong VAT rate (e.g. Standard Rate instead of Zero Rate). The VAT figures look wrong because the coding is wrong.

Return Period Already Filed

Xero is attempting to submit a VAT return for a period that has already been submitted to HMRC. HMRC rejects duplicate submissions for the same obligation period.

VAT Registration Number Error

The VAT registration number in Xero's Organisation Settings does not match HMRC's records exactly. HMRC rejects submissions where the VRN in the payload does not match.

In Xero: go to Accounting > Reports > VAT Return.

Click Connect to HMRC if you see a disconnected status, or go to Settings > HMRC Connections.

You will be redirected to HMRC Government Gateway -- log in with the business owner's credentials.

Approve Xero's access. The connection renews and you can attempt the VAT submission again.
