How to Delete Duplicate Invoices in QuickBooks

Duplicate invoices inflate your income, overstate accounts receivable, and confuse customers who get billed twice. Finding and clearing them keeps your reports and your reputation clean.

At QuickFix Bookkeeping, the rule is: never delete a duplicate that has a payment applied. Void or unlink the payment first, or you will break a reconciliation. Here is the safe way to clean them up.

Run an invoice list report. Go to Reports and open Invoice List or Transaction List by Customer. Set the date range that covers the suspected duplicates.

Sort by customer and amount. Duplicates show as two identical rows, same customer, same amount, same or near-identical date. Note the invoice numbers of the copies to remove.

Check each one for a payment before touching it. Open the duplicate and look for a linked payment or Deposited status.

Go to Sales, then Invoices, and open the duplicate that has no payment attached.

Select More, then Delete, and confirm. Keep the original with the correct invoice number and remove only the copy. See our full delete an invoice guide for the exact clicks.

Unlink the payment first. Open the payment, untick the duplicate invoice, and re-apply it to the correct original invoice, then save.

With the payment moved off it, the duplicate is now safe to delete, or void it if you prefer to keep a trace. If a bank-feed match created the duplicate, exclude the extra downloaded transaction rather than deleting it.

Prevent the Next Batch

Most duplicate invoices come from re-importing the same bank date range or a double click on Save. Import each date range once, and turn on duplicate warnings in settings. For recurring billing, use a recurring template so QuickBooks generates one clean invoice per cycle.
