How to Recover Deleted Invoices in QuickBooks Online

There is no undo button. Once an invoice is deleted in QuickBooks Online, it is gone from your books. But the details survive in the Audit Log, and you can use them to recreate it exactly.

Recover a Deleted Invoice, Step by Step

Open the Audit Log. Go to Settings (the Gear icon), then Tools, then Audit log.

Filter to the deletion. Use the Filter panel to set the user, date, and events. Choose Show only these events, then Transactions, then Deleted/Voided Transactions, and Apply.

Locate it fast. Press Ctrl + F and type deleted to jump straight to deleted entries in the list.

View the full detail. In the History column, select View. This shows every field of the original invoice: customer, date, line items, amounts, and tax.

Select New, then Invoice. Enter the customer, line items, amounts, and crucially the original transaction date from the Audit Log so your reports stay accurate.

If QuickBooks warns the invoice number is already in use, you can change it and still save. Reusing or back-dating a number is allowed.

Save. If it refuses to save, the browser cache is the usual culprit. Try an incognito window or clear the cache, then recreate it. Re-apply any payment afterward.

The Thing to Remember

Deleting is permanent in QuickBooks Online, and the Audit Log only holds details for transactions that were once saved. If an invoice had a payment applied, recreating it will not automatically restore that payment link, so you will need to receive and re-apply the payment separately.
